I Hate Saying No, But Sometimes I Must

The call came in at 11am this morning, and it was a buyer one of my agents has been working with the past few weekends. They are looking for a home, and that is our favorite kind of client. They had a list if beautiful homes in Southern Westchester for sale they wanted to see. 

Unfortunately, I couldn't help them this day. I had to offer a raincheck. The reason? Weekends are our busy days in this business, and Saturdays and Sundays get filled pretty fast. If you don't have yourself in the schedule by Friday, I can't promise that I can make time for you on a weekend day. Most people are off on the weekends, and because of that, we in the real estate biz are "on." That's the way it is, and if you don't work weekends in this business, you are losing business. Clients and customers need us at these times.  

But Sunday at 11am is too late for me to make time sometimes-like today. I tried- My agent was already booked, I was booked, and everyone else in the firm I called had other clients scheduled. We couldn't honor the request. And that is a bummer! Had we known Friday they'd be in. 

In my book, anyone who is looking for a house in December is a serious buyer whom we take seriously. I love December business. We just need more notice, and we'll go to the mat for our buyers!

I actually touch base with people I am working with around Wednesday - so I can set things up.   I do this because if I don't, that's when conflicts occur.  It doesn't always work out the way I expect, but it drills into their heads that I can't just run out the door.  Even if there isn't a conflict with another client, you have to set the appointments up and the more lead time you have - the more likely you are to gain access.

We shouldn't feel upset about saying "no" when it's justified.  Why do we carry a guilt trip...???   No   remember the word.

That sounds like a good problem to have actually.  You would think that most people would not be put off by a professional not being able to assist them on such short notice.  I guess it never hurts to ask...  I just hope they respect your time and give you another opprotunity when there could be better planning involved.

You said it.  I have learned to explain to my buyers during our initial consultation that it's a good idea to plan for weekend showings by Thursday, not even Fridays.  I often get booked for the weekend by Thursday.

I let my buyers know early on, if they think they want a weekend appointment, book early in the week. They can always cancel, but if they have limited availability, book the time by Wednesday.

There are certainly times when we must say no.  If handled correctly it give good information to the buyer to plan ahead.

This is a good problem to have.... the are calling.  Maybe he will stop to think about his request and realize you would help if you could.  AND consider that if he were your scheduled client you would not abandon him for someone else either.  I hope he will wait for you!

We live in a resort community, Cannon Beach, Oregon, and are most busy on weekends and holidays. The good part is that we don't work at night because buyers are here  to enjoy our beautiful town.

 I have a partner and so we can juggle our schedules to meet most buyers needs. Our biggest challenge is that some homes are used as short term rentals and can be booked at a moments notice.

My only suggestion is to find someone to pitch-hit for you.

I agree December buyers are usually serious.

There are only 24 hours in the day. Sounds like your team has a good relationship with them so I bet they understand.

If it is a home they really want to see, they will work with your team to get in and see it.

I have read most of the comments and several are very salient with interesting answers/responses. I find that when I read about agents running out to meet with a person that calls & expects that agent to  show property, without  being properly qualified -- I question that agents, having the right training.

I would not want my agents, nor myself to jump through hoops for a up call without getting a buyers vital stats and having proof that this person can purchase a home, sign a buyers brokers agreement etc, So,if that mean saying no to a maybe then so be it.

Hi Phil: They do not understand - happened to me last week... a client was ging to let me know by 4:30 the time she was available the following morning.... Based on the offices closing,. I had to make appointments... They think we work all hours and appointments are easy to make.. Not so! Nice post. Gay

It's difficult for some clients to understand that we have other clients to service.   They also don't realize that it sometimes takes up to 48 hours to schedule showings due to listing agent, tenant, etc.  Glad you are keeping busy and hope they take your rain check!

I love it even more when you contact your buyers on Wednesday or Thursday with a reminder that the weekend time slots are filling up if they would like to go see homes.  Then they still call on Saturday afternoon.  Oh well...

I think that I do a good job of going over this exact reasoning at the buyer consultation.  That way they understand that my time is valuable and weekends are set up in advance.  Sometimes it is better to say no than to try to squeeze something into an already booked schedule and make you late for a client that played by the rules. Good for you that you are so busy!
