There have been several posts recently about hiring assistants to help with real estate tasks.  There are agents who consider themselves overworked, and they’re having a difficult time making it all work well.  I want to share my thoughts on this topic, and I’m sure many of you will not agree.

The only type of assistant that I feel would be worth the money paid is a "virtual assistant."  This would be someone who knows SEO and would enhance your online presence.  A person who is well versed on the topic of Internet marketing on a variety of sites; a person who could work with you to create a plan that will suit the online marketing of your inventory and your specific needs; a person who is capable of preparing marketing materials and designs. 

The only person who should answer the phone and speak with potential clients is you.  Neither buyers nor sellers want to speak with anyone other than the person who will be handling their real estate business.  They are not interested in speaking with an assistant.  The person who answers the phone is the person who needs to work the potential client.

Organization skills are the most important skills every agent must develop.  If you are not up to par with your organization skills, you’ll feel that you need an assistant to survive.  You only need to learn to be organized.  You need systems in place and a routine to follow.  You need to organize your existing business and the way you handle your future business. 

A licensed and/or unlicensed assistant is another person to manage.  It’s an added responsibility and you’re paying this person.  Why would you pay someone if you need to supervise that person?  It takes time to supervise.  However, once you’re organized and a routine is in place, it’s smooth sailing. 

Spend your money on making the phone ring via a virtual assistant not on an assistant for you to oversee.  There are many virtual assistants on ActiveRain.  Pick up the phone and have a conversation with several of them.  ActiveRain makes life easy.  Take advantage of it.

Couldn't agree with you more on the fact that the incoming calls should always be coming to us.  I wouldn't mind, however, having someone to do paperwork.  I don't think I would trust anyone else to work on my blog, for instance.

Christine..... ha....I am a control freak too and was never able to give any of it up..... I would never have found anyone who would live up to my expectations..... that's a flaw in MY personality.

Barbara, great post. It is a little bit black and white, not all assistants need lots of management, some people are very organized and still have assistants (as a matter of fact, I believe having an assistant would make people organized, because somebody else would handle files so they would have to be clean and neat and standardized). But I  can agree with your core message that often doing the job takes as long as delegating it. Kind of reminds me of my husband, by the time I ask him to do a chore and explain it, I'm done doing it myself .... :)!

Tanja.....yes, this post is very black and white.... finding an assistant who does not need managing, direction and overseeing is a rarity and if you find that person, you'll pay a premium..... I would think that organizing your business and creating systems would be a better option and hiring a virtual assistant for a number of tasks would be a wise move....it would make the phone ring....

While I agree that a virtual assistant can be instrumental in specific tasks ( SEO, and Internet Marketing as just a couple of examples) I think the right assistant can be an effective member of the team. I'm not just talking about hiring someone your friend told you about. There is recruiting process to help identify the skills and personality to augment what you bring to the table to help make the team more effective and efficient. This recruit select process helps ensure the right person is in the right "seat on the bus". I also believe it is fine for your clients to call and speak with your "assistant" rather than with you each call as long as the process has been clearly explained up front. When I call a "business" for services, I don't always expect to speak with the owner...and each of us is the owner of our real estate business.

Ken.... in many offices, there's a receptionist at the front desk to take phone calls and patch them through..... I like using a direct line and answering our own phones....just my preference.... the real estate business is not like other businesses....selecting an agent for a home purchase or selecting a listing agent is not quite the same as buying car insurance.....I think it's important for a potential client to speak directly to an agent that the client will be working with....

I agree with you, as well. Just had an experience with a listing my buyers wanted to write on. Was asked to contact another team member (i.e., assistant) with showing feedback, etc. When I did call her and told her the showing went great and buyers wanted to write an offer, she was far from being able to answer all the questions I had. Turned into a frustrating situation very quickly.
