Making Top Producer Work For You

I've read lots of blog posts about agents who are frustrated with Top Producer.  I've heard:

  • It's not user-friendlytop producer
  • It's too difficult to navigate
  • I don't know what it is capable of
  • It's too hard to figure out
  • It takes too much time to learn

Well, let me tell you that there are some really great features in Top Producer!  Did you know that, with Top Producer, you can:

  • capture lead information from your website and send it directly into your contact databasetop producer
  • assign multiple categories for each contact in your database
  • set up drip e-mail campaigns and assign leads to those campaigns
  • set up drip e-mails to send automatically
  • set up action plans that consist of activites you want to conduct for leads
  • receive reminders of tasks to perform each day
  • track the cost of marketing on each of your listings
  • set up action plans for activities you want to conduct for each listing and/or seller
  • set up websites for sellers to see all marketing activities conducted on their behalf
  • create property flyers
  • assign deadlines for tasks to be completed either by date or number of days after a listing is created
  • send completed tasks to the marketing service report, which can be sent to the seller
  • send mass e-mails to agents about new listings and price reductions
  • have immediate access to current monetary inventory levels (active, sold, expired)
  • create presentations - listing, agent, buyer, and more

And those are just some of the things you can do with the main application.  With add-ons, you can:

  • use MS Outlook to send and receive e-mail, while mail still remains saved by contact in Top Producer
  • use your Palm Pilot, Blackberry or Treo to connect to your Top Producer account while on-the-go
  • create CMAs right from Top Producer
  • send out market snapshots to show how fast homes are selling in a specific neighborhood, selling to listing prices, number of unsold listings in the neighborhood, and more

Thanks for the info....we use Outlook instead of Top Producer and have not been able to justify the extra cost.

Renae - I like what Top Producer offers, but I've always used outlook. I got TP last year and never even opened it! How sad is that?!??!?!

Lisa - I hope that I'll give you some great tips on how to make Top Producer work for you then!  Since you are just starting to use it, this is probably coming at a good time for you.

Dawn - I think that's because oftentimes agents learn a few key things in a program and that's all they'll use it for, not realizing they could do so much more.  Plus, there's always the time factor!

Jeff and Mona - I completely understand.  Top Producer isn't for everyone.  Perhaps reading the series we have planned may give you a different outlook on TP and may just change your mind!  We'll see!

Lindsey - Unfortunately, you are not alone!  There are so many agents who have signed up for TP, convinced that this is the perfect program for them because of all that it does.  Then, once they get their login information, it becomes a "lost at sea" situation - not knowing where to go from here, basically.  The training sessions are good but some agents just don't have the time to devote to learning it.  You have no idea how many of our clients sign up for TP and then just tell us to use it for them! hahaahha  That seems to be a trend lately.  Do you still have your account with TP?

Renae - I dropped it a month ago. My contract was done and with my little ones hanging off my legs all the time I just didn't have the time to figure it out. I know that soooooooooooooooo many people like Top Producer that it's a good thing, it just wasn't meant for me at the moment. :-)

I completely understand, Lindsey. And like I said, you are not alone!  Some of our clients had TP accounts that they cancelled only to get it again once they started working with us.  But also like I said to Jeff and Mona - it just isn't for everyone.  (Although you might want to reconsider now that there are the Outlook add-ons available!)

Audrey - Most agents are the same way.  It has a lot of great features that your assistant could be using for you.  I haven't had a chance to use TP8i yet but have heard a lot of great things about the upgrade, too.

I have had TP 7i for about a year now and had not really been utilizing it to its full potentional.  I have recently made the committment to utilize this program to its fullest.  While I would say the learning curve is pretty steep, the rewards seem to be paying off as I am beginning to automate my systems, listing plans, closing checklists, etc, etc. The more you use it, the more you learn.

Misty - You are quite welcome.  Although we typically use TP fo our clients, sometimes the agents like to know how to do certain tasks themselves.  I hope that the things I cover will be enough to keep you interested in spite of the learning curve.
